WeWork Summer Camp
Summer Camp was a weekend getaway where WeWork employees and members from across the globe came together to take a break from the hustle and draw inspiration from new experiences. As the event was compulsory it was attended by the vast majority of WeWork’s global workforce, something that held specific challenges in having many people from very different backgrounds, many experiencing camping and the festival environment for the first time.
Multiple music stages hosted globally renowned artists whilst non-musical entertainment included fitness classes, sports games, networking activities, workshops, classic summer camp activities such as canoeing and archery, amazing musical performances as well as delicious food and beverages all weekend.
TEU’s role at WeWork Summer Camp
TEU’s role at WeWork Summer Camp was to manage the entire scope of Production and Operations for the event, coordinating the logistics of running an event that flowed freely between conference, sports activities, team building and a typical music festival with headline artists including Lorde, Bastille, Alesso and Stev Angello.
TEU’s Live Team roles included Production Lead, Operations Manager, Event Safety Planning and Resilience Officer, Event Managers for the Day and Night team, as well as running the site and production offices.
The Production Lead and Operations Manager, quickly understood WeWork’s high value aesthetic, preparing for any situation and liaising with multiple stakeholders to ensure that all aspects of the event were covered. TEU’s Event Safety Planning and Resilience Officer, worked to ensure all areas of a multifaceted event were considered in every step of the planning process.
TEU’s responsibilites
- Full live event production and management
- EMPs including CDM 2015, Traffic Management, Health and Safety, Welfare and presenting to the SAG
- Obtain all necessary licences, including landowner permissions, premises licence, Temporary Event Notices, PRS and PPL
- Full event staffing provision
- Stakeholder, Business and resident engagement
- Welfare management – this was a key area due to the huge proportion of overseas visitors to the event.
Some of the challenges faced throughout the project included coordinating the arrival of 50 coaches, carrying 8,000 employees from across the globe through Eridge Park in a two-hour window to specific locations on the site. Total attendance onsite was 8’000 and TEU was responsible for coordinating a full boutique camping offering for all guests.
TEU also worked alongside sports activity providers, including football, rock climbing, baseball, cross country, and a lake offering a swimming area, canoeing, and kayaking, with purpose-built bridges and pontoons just for the event. The seamless transition between morning meditation with Deepak Chopra, to a keynote speech from WeWork CEO, while ending the day with a headline set by Lorde all on the same main stage, were all achieved seamlessly.
